1. Overview & Scope

1.1 Who We Are

Bittsi Inc. ("Bittsi," "we," "us," or "our") is a Delaware corporation that provides a pet owner mobile application and web portal (the "App") that allows pet owners to view clinic-maintained information about their pets and create basic pet profiles.

1.2 What This Policy Covers

This Privacy Policy describes how we collect, use, disclose, store, and protect personal information when you use the App. It applies to all users of the App.

1.3 Clinic Data Note

Clinics invite their clients (pet owners) to the App. Your veterinary clinic or animal care provider (your "Clinic") remains the custodian of clinic records. Bittsi provides the App to display and manage that information for your convenience. The App is not a medical records system but a tool for pet owners to access information maintained by their Clinics. For clinic-maintained records, your Clinic is the controller and Bittsi acts as a service provider/processor. For pet profile data you add and your account information, Bittsi is the controller.

1.4 Relationship to Terms of Service

This Privacy Policy supplements our Terms of Service (available at [INSERT TERMS URL]). By using the App, you agree to both this Privacy Policy and the Terms of Service.

2. Personal Information We Collect

We collect the following categories of personal information:

2.1 Identifiers & Contact Information

  • Name, email address, phone number, and emergency contact information provided by your Clinic when they invite you to create an account.

2.2 Account & Access Information

  • Account credentials or authentication tokens used to log in to the App.

  • Basic device and log information collected for security and operations, including IP address, device type, operating system, and browser information.

2.3 Pet Profile Data (You Add)

  • Pet name (required when you create a pet profile).

  • Optional microchip number (if you choose to add it).

  • Optional pet insurance information (if you choose to add it).

2.4 Pet Records (From Your Clinic)

  • Pet information maintained by your Clinic that your Clinic shares with Bittsi to display in the App, such as medical records, visit history, vaccination records, and other pet-related information.

  • Your Clinic controls what information is shared with the App.

2.5 Communications

  • Messages you send to Bittsi support when you contact us with questions or issues.

2.6 What We Do Not Collect

  • We do not collect payment information (the App is free and invitation-based).

  • We do not collect precise geolocation data.

  • We do not collect social security numbers, government IDs, or similar sensitive personal identifiers.

2.7 Note on HIPAA

Pet medical information is not human health information and is not subject to the Health Insurance Portability and Accountability Act (HIPAA). The App is not a HIPAA-covered service, and Bittsi is not a HIPAA business associate.

3. Sources of Personal Information

We collect personal information from the following sources:

3.1 Your Clinic

  • Your Clinic provides your contact information (name, email, phone, emergency contact) and pet records when they invite you to use the App.

  • Clinic Invitations and Data: Your Clinic represents that it has all necessary rights and permissions to share your contact and pet information with Bittsi for the purpose of creating your App account and enabling your access.

3.2 You

  • You provide information when you create and edit pet profiles, add optional details (microchip numbers, insurance information), and communicate with us through support channels.

3.3 Automatically From Your Devices

  • Device and usage data collected automatically when you access the App, including IP address, device type, operating system, and basic usage logs for security and operations.

4. How We Use Personal Information

We use personal information for the following purposes:

4.1 Provide and Operate the App

  • Set up and authenticate your account.

  • Display pet information shared by your Clinic.

  • Enable you to create and manage pet profiles.

  • Allow you to view and organize information about your pets in one convenient location.

4.2 Communicate With You

  • Send important information about the App, including account confirmations, security alerts, and service updates.

  • Respond to your support inquiries and feedback.

  • Facilitate communications between you and your Clinic (where enabled by your Clinic).

4.3 Maintain Security and Prevent Abuse

  • Detect, investigate, and prevent security incidents, fraud, and abuse.

  • Monitor for unauthorized access and protect the App and user accounts.

  • Enforce our Terms of Service and policies.

4.4 Comply With Legal Obligations

  • Respond to lawful requests from authorities and legal processes.

  • Comply with applicable laws and regulations.

  • Establish, exercise, or defend legal claims.

4.5 What We Do NOT Do

  • We do not use your personal information to train machine learning models.

  • We do not use your information for advertising or marketing purposes.

  • We do not sell or share your personal information for cross-context behavioral advertising.

5. Sharing & Service Providers

5.1 Service Providers

We share personal information with third-party service providers who perform functions on our behalf. These providers are contractually obligated to protect your information and use it only for the purposes we specify.

5.2 Your Clinic

  • Your Clinic already has access to clinic-maintained records and controls what information is displayed in the App.

5.3 Legal Requirements

We may disclose personal information to:

  • Law enforcement, regulatory agencies, and government authorities in response to lawful requests or legal obligations.

  • Courts and legal counsel in connection with litigation or legal proceedings.

  • Third parties as necessary to protect our rights, property, safety, or that of users or the public.

5.4 Business Transfers

If Bittsi is involved in a merger, acquisition, sale of assets, bankruptcy, or similar transaction, your personal information may be transferred to the successor entity, subject to this Privacy Policy or a successor policy.

5.5 No Sale or Sharing for Advertising

We do not sell or share your personal information as those terms are defined under applicable U.S. state privacy laws. Specifically:

  • We do not sell personal information to third parties for monetary or other valuable consideration.

  • We do not share personal information with third parties for cross-context behavioral advertising purposes.

6. Cookies & Tracking

6.1 Use of Cookies

We use only those cookies and similar technologies (such as software development kits in mobile apps) that are necessary to operate the App and provide basic functionality.

Types of cookies we use:

  • Strictly necessary cookies: Required for authentication, session management, and security.

  • Basic operational cookies: Enable core App features and remember your preferences.

6.2 Analytics

7. Data Retention

7.1 How Long We Keep Information

We retain personal information for as long as necessary to:

7.2 Specific Retention Periods

  • Account and contact information: Retained while your account is active and for a reasonable period after account closure (typically 30–60 days) to accommodate reactivation or comply with legal obligations. Account data is deleted only upon your explicit request (see Section 9).

  • Pet profile data you add: Retained while your account is active. When you delete your account, we delete this data within 30–60 days.

  • Clinic records: Controlled by your Clinic. Requests about clinic records should be directed to your Clinic. We display clinic records only while your Clinic maintains its relationship with Bittsi and shares the data with us.

  • Usage logs: Retained for up to 12 months for security monitoring and service improvement, then deleted or anonymized.

7.3 Deletion Upon Request

You can request deletion of your account and personal information by contacting us at [privacy@bittsi.com]. We will delete your account and Bittsi-held profile information within 30–60 days, except where retention is required by law or for dispute resolution.

Note: Clinic-maintained records are controlled by your Clinic. Requests to correct, update, or delete clinic records should be directed to your Clinic.

8. Security

8.1 How We Protect Your Information

We implement reasonable technical and organizational measures to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure. These measures include:

  • Encryption of data in transit and at rest where feasible.

  • Access controls limiting access to authorized personnel on a need-to-know basis.

  • Secure authentication systems.

  • Regular security monitoring and updates.

8.2 No Absolute Security

Despite our efforts, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your personal information. You are responsible for maintaining the confidentiality of your account credentials.

8.3 Your Responsibility

You can help protect your information by:

  • Using strong, unique passwords.

  • Not sharing your account credentials.

  • Logging out after using shared or public devices.

Some requests about clinic records may need to be directed to your Clinic, as your Clinic controls clinic-maintained information.

9.2 Account Closure

You can close your account at any time by contacting [support@bittsi.com] or [privacy@bittsi.com]. Upon account closure, we will deactivate your account and delete Bittsi-held profile information within 30–60 days.

9.3 How to Exercise Your Rights

  • A description of what you're requesting (access, correction, deletion, account closure).

  • Any information needed to verify your identity.

Depending on where you live, you may have additional rights under state privacy laws (such as California, Virginia, Colorado, Connecticut, or other states). These may include rights to data portability, opt-out of sales/sharing (not applicable, as we don't sell or share), and non-discrimination.

You may have the right to:

  • Request deletion of your personal information (subject to legal exceptions).

  • Opt out of sale or sharing (not applicable, as we don't engage in these practices).

10. Children's Privacy

10.1 Age Requirement

The App is not directed to individuals under 18 years of age. We do not knowingly collect personal information from children under 18.

10.2 No Collection From Children Under 16

We do not knowingly collect personal information from children under 16 years of age without parental consent. If we learn that we have collected information from a child under 16 without verifiable parental consent, we will delete that information as soon as reasonably practicable.

10.3 Parental Notice

11.1 Service Providers

Your Clinic operates independently from Bittsi. Your Clinic's collection, use, and disclosure of your information is governed by your Clinic's privacy policy (if any) and applicable law. Bittsi is not responsible for your Clinic's data practices.

11.3 Links to Other Sites

The App may contain links to third-party websites or resources. We do not control and are not responsible for the privacy practices of third-party sites. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to This Policy

12.1 Right to Modify

We reserve the right to update this Privacy Policy at any time to reflect changes in our practices, legal requirements, or business operations.

12.2 Notice of Changes

When we make material changes, we will:

  • Update the "Effective Date" at the top of this Policy.

  • Post the revised Policy in the App.

  • Provide notice through the App, by email, or by other reasonable means.

12.3 Continued Use Means Acceptance

Your continued use of the App after changes are posted constitutes acceptance of the revised Privacy Policy. If you do not agree to the revised Policy, you must stop using the App and may request deletion of your account.
